Keep the room. Enrollment issues and the next renewal both depend on it. Update when meters are added, sites close, or major equipment changes.

How much history is enough?

Twelve months minimum; 24 months preferred when seasons or pandemic/recovery years distort a single year.

Do tiny matrix accounts need a full data room?

Proportionate effort—but still use full PDFs and equalized fees, not one teaser email.

Who hosts the room?

Shared drive with access control is fine. Version the meter register; do not rely on email threads as the system of record.
